How to use these milk khata templates

Every Indian milkman we talk to still carries a paper khata for at least one use case — even ones who use an app for the rest. These six templates cover the most common paper-khata needs we see at dairies across Madhya Pradesh, Rajasthan, Gujarat and Maharashtra. Fill in your dairy name once, and you can print the same bilingual sheet every month.

Which template should you use?

  • Customer daily khata — the classic one-sheet-per-customer format. Good for home delivery customers paying monthly. 31 rows.
  • Customer monthly summary — end-of-month bill when you collect payments in cash. One row per customer. 40 customers per sheet.
  • Supplier FAT-SNF khata — for collection centres that buy milk from farmers. Twice-a-day entries with FAT%, SNF%, and final rate.
  • Supplier monthly payment — month-end payout sheet with space for feed-loan / advance deduction. Landscape A4 for wider columns.
  • Delivery route sheet — daily tick-sheet for your morning route. Carry one on a clipboard. One row per stop.
  • Payment receipt book — 3 receipts per A4 page. Print 10 pages = 30 receipts. Give a copy to the customer, keep a copy.

Printing tips

  • Use plain white A4 (75-90 gsm) — carbonless copy paper if you want two copies at once.
  • Print double-sided for delivery sheets to save paper.
  • Get at ≥100 copies at a Xerox shop — cost is about ₹2 per sheet, much cheaper than ready-made khatas sold in stationery stores.
  • Use a cardboard folder or clipboard to keep the sheets tidy in the delivery bag.

When to stop using paper khata

These templates are a bridge — not the destination. If you regularly lose sheets, forget to update them, or spend hours at month-end adding up columns, it is time to move to a digital khata. DudhHisaab gives you the same information (per-customer daily entry, monthly total, supplier FAT-SNF, payment receipts) in a phone app that works offline. You can still print a PDF bill for each customer if they want a paper copy.

Start with the free plan — it supports 10 customers or suppliers, has no time limit, and all core features are included. When you cross 25, upgrade for ₹99 a month.

Milk Khata Template FAQs

Answers to the most common questions about printable dairy ledgers.

Are these khata templates free?

Yes — all six templates are 100% free. No signup, no email, no watermark. You can print unlimited copies. We make DudhHisaab (the app) and offer these templates as a free resource for milk delivery businesses still using paper.

Can I edit the business name and month on the PDF?

Yes. Enter your dairy name, owner name, month and year in the form. The generated PDF will have those printed at the top of every sheet, so you can reuse the same template every month.

What paper size and orientation do they print on?

All templates are A4 (210×297mm). The customer daily khata and delivery route sheet are portrait. The monthly payment sheet is landscape (more columns). Use any standard inkjet or laser printer.

Do these templates work in Hindi and English?

Yes — every column header is bilingual (Hindi + English). That way rural customers and village suppliers can read the sheet without English literacy, while you still get a professional-looking bilingual record for tax and GST purposes.

Is there a better digital alternative to paper khata?

Yes — DudhHisaab replaces the paper khata entirely. You record daily entries in seconds on your phone, auto-calculate FAT-SNF rates, generate month-end bills and WhatsApp PDFs in one tap. The free plan supports 10 customers forever.

Can I print the templates at a photocopy shop?

Absolutely. Download the PDF here, carry it to any print/Xerox shop on a USB or email it to them. 100 prints usually cost ₹200-300. A month-long stock is enough for most route-based milkmen.
