How to use these milk khata templates
Every Indian milkman we talk to still carries a paper khata for at least one use case — even ones who use an app for the rest. These six templates cover the most common paper-khata needs we see at dairies across Madhya Pradesh, Rajasthan, Gujarat and Maharashtra. Fill in your dairy name once, and you can print the same bilingual sheet every month.
Which template should you use?
- Customer daily khata — the classic one-sheet-per-customer format. Good for home delivery customers paying monthly. 31 rows.
- Customer monthly summary — end-of-month bill when you collect payments in cash. One row per customer. 40 customers per sheet.
- Supplier FAT-SNF khata — for collection centres that buy milk from farmers. Twice-a-day entries with FAT%, SNF%, and final rate.
- Supplier monthly payment — month-end payout sheet with space for feed-loan / advance deduction. Landscape A4 for wider columns.
- Delivery route sheet — daily tick-sheet for your morning route. Carry one on a clipboard. One row per stop.
- Payment receipt book — 3 receipts per A4 page. Print 10 pages = 30 receipts. Give a copy to the customer, keep a copy.
Printing tips
- Use plain white A4 (75-90 gsm) — carbonless copy paper if you want two copies at once.
- Print double-sided for delivery sheets to save paper.
- Get at ≥100 copies at a Xerox shop — cost is about ₹2 per sheet, much cheaper than ready-made khatas sold in stationery stores.
- Use a cardboard folder or clipboard to keep the sheets tidy in the delivery bag.
When to stop using paper khata
These templates are a bridge — not the destination. If you regularly lose sheets, forget to update them, or spend hours at month-end adding up columns, it is time to move to a digital khata.
